  • Based at headspace Knox and Lilydale on the lands of the Wurundjeri People, with on-site working arrangements

Your Role, Your Impact
As our Receptionist, you’ll be the first point of contact for young people, families, and visitors. Your warm, professional presence will help create a safe and inclusive environment. You’ll manage front-of-house operations, support appointment scheduling, and ensure smooth day-to-day functioning across both Knox and Lilydale sites.

Key Responsibilities:

  • Deliver professional, friendly, and efficient reception services
  • Welcome and support clients, visitors, and contractors
  • Screen, refer, and handle incoming calls and messages
  • Manage appointments and consulting rooms
  • Maintain clean and presentable reception and waiting areas
  • Monitor visitor entry and exit
  • Create and manage client files using Medical Director, Trakcare, and MDS systems
  • Prepare and send client correspondence
  • Support site maintenance, supplies, and equipment needs
  • Assist with financial record keeping and administrative tasks
  • Work across both Knox and Lilydale sites as needed

Who We’re Looking For
You’re someone who thrives in a fast-paced, customer-focused environment and brings:

  • Formal qualifications in administration, customer service, health, or social/community services, or equivalent experience
  • Experience in fast-paced, customer service-focused roles.
  • Previous work in the community sector and/or a large, complex organisation.
  • Excellent communication and interpersonal skills
  • Strong organisational and administrative abilities
  • Basic to intermediate computer skills
  • Understanding of privacy and consent practices
  • A Level 2 First Aid Certificate is highly regarded
