- Based at headspace Knox and Lilydale on the lands of the Wurundjeri People, with on-site working arrangements

Your Role, Your Impact
As our Receptionist, you’ll be the first point of contact for young people, families, and visitors. Your warm, professional presence will help create a safe and inclusive environment. You’ll manage front-of-house operations, support appointment scheduling, and ensure smooth day-to-day functioning across both Knox and Lilydale sites.
Key Responsibilities:
- Deliver professional, friendly, and efficient reception services
- Welcome and support clients, visitors, and contractors
- Screen, refer, and handle incoming calls and messages
- Manage appointments and consulting rooms
- Maintain clean and presentable reception and waiting areas
- Monitor visitor entry and exit
- Create and manage client files using Medical Director, Trakcare, and MDS systems
- Prepare and send client correspondence
- Support site maintenance, supplies, and equipment needs
- Assist with financial record keeping and administrative tasks
- Work across both Knox and Lilydale sites as needed
Who We’re Looking For
You’re someone who thrives in a fast-paced, customer-focused environment and brings:
- Formal qualifications in administration, customer service, health, or social/community services, or equivalent experience
- Experience in fast-paced, customer service-focused roles.
- Previous work in the community sector and/or a large, complex organisation.
- Excellent communication and interpersonal skills
- Strong organisational and administrative abilities
- Basic to intermediate computer skills
- Understanding of privacy and consent practices
- A Level 2 First Aid Certificate is highly regarded
